When setting up your MyOrderDesk site, you may find the need to have orders approved by certain people within the organization. With this document, we will layout the steps to implement approvers for a created group on the site. The Approval workflow is explained below:
Cart Created > Approval Requested > Approval Email Issued > Approval Granted > Checkout > Begin Production
To begin setting this up we need to first create a Group within the Users & Groups page of MyOrderDesk's Admin Menu.
Once the group is created, we need to add users to the groups. To do this, locate the users within the Everyone group and select individual people to add or bulk select by holding control and clicking on users.
You can also use the Auto-Add Link that is found in the Settings section of the Group page in Users & Groups section as well to provide new users who can click the link and create an account to be automatically added to the group without manual assignment.
Now that you have people in the group, you need to assign certain users as Approvers.
Find the users within the group and select to highlight their information. Then use the drop-down menu to assign them as Viewers.
When users within this group place orders now, they will require approval from the person assigned as the Approver.
In this drop-down menu, you will see several levels of Approvers. Each level supersedes the previous level. This is used mostly for multi-level approvals.
Viewers are assigned using the same method outlined above except you select Viewer instead of Approver.
In the group you created, you can also assign Viewers. Viewers are users within a group that are permitted to see other user's orders. This is typically done for supervisors within an organization. Once this is set up, the orders can be viewed by navigating to Order History and selecting the search filter. Change the default filter from Mine to All.
If 'Viewer - Email them 'new job notices' is selected, that Viewer will receive emails for each order placed so they can track and view the orders.
