Overview
The Midnight Window Book Integration streamlines the transfer of mailing and postage data from Window Book into Midnight, reducing manual data entry and helping ensure accurate postal processing. Once the integration has been enabled on your Midnight site, mailing jobs and postage transactions can be imported directly from Window Book into Midnight.
This integration is particularly beneficial for organizations that manage direct mail campaigns, Marketing Mail, and other high-volume mailing operations. By facilitating the exchange of data between Window Book and Midnight, the integration helps bridge the gap between postal processing and production management.
The Window Book Integration requires minimal setup within Midnight. After the integration has been added to your site, the remaining configuration is managed within Window Book. During the import process, Midnight uses order and postage affix mapping logic to associate imported records with the correct orders, permits, and postage accounts.
Proper configuration and ongoing validation will help ensure accurate mailing workflows, reduce manual effort, improve postage tracking, and provide greater visibility into mailing costs and activities within Midnight.
Setup Requirements
The Window Book Integration in Midnight requires the integration to be enabled on your Midnight site. Once the integration has been added, the majority of the configuration and setup is performed within Window Book. Organizations should work directly with their Window Book representative or implementation team to complete the necessary Window Book configuration, establish data mappings, and verify connectivity.
Midnight requires minimal configuration beyond enabling the integration. The primary setup within Midnight involves configuring the appropriate Postage Affix records that will be used to map imported Window Book transactions. Properly configuring the Window Book-specific fields on each Postage Affix, such as Window Book Permit #, Window Book Permit Type, and Window Book Rate, helps ensure imported transactions are automatically associated with the correct postage account during the import process.
- The Window Book Permit # should match the permit number configured within Window Book for the mailing account.
- The Window Book Permit Type identifies the permit classification used within Window Book. Common permit types include: PI - Permit Imprint, PC - Precanceled Stamp and MTR - Metered Mail.
- The Window Book Rate represents the postal rate or mailing class associated with a postage affix. This field is only used when the Window Book Permit Type is PC (Precanceled Stamp). For all other permit types, including PI (Permit Imprint) and MTR (Metered Mail), Midnight maps imported postage records using only the Window Book Permit # and Window Book Permit Type. While the Window Book Rate may still be populated for informational purposes, it is not considered during the import mapping process for non-PC permit types.
- The Window Book Secondary Postage Affix designates an alternate Postage Affix that may be used when secondary postage charges are reported from Window Book.
- The Window Book Subtotal Postage checkbox identifies whether the imported postage amount should be treated as a subtotal postage amount from Window Book.
Once the integration is enabled and the Postage Affix records have been configured, mailing and postage data can be imported from Window Book into Midnight, reducing manual entry and improving the accuracy of postage tracking and reporting.
Using the Integration
- Access the PostalWeb Import using QuickLinks menu in the Order Search screen.
- Review the imported postage records and generate the appropriate mailing import by clicking Save & Close.
- After the import has been processed, navigate to the order and locate the applicable postage line item.
- Click the magnifying glass icon next to the postage line item to open the Postage Reconciliation screen.
- Review the imported postage details, verify the postage affix mapping, and confirm that the imported postage amounts match the expected mailing activity.
The Postage Reconciliation screen provides visibility into the imported Window Book postage information and allows users to validate that postage expenses have been correctly associated with the appropriate order and postage affix.
By regularly reviewing imported postage transactions and reconciliation details, organizations can ensure that mailing information remains synchronized between Window Book and Midnight, improving postage tracking, reporting accuracy, and overall mailing workflow efficiency.
