Phase 3 - Session 5 Homework: On-Your-Own Topics Follow
Please review these On-Your-Own Topics and mark the associated GUIDEcx task as Complete before Session 6. These topics are intended for self-study and are generally not covered in detail during implementation sessions.
We highly recommend having Midnight open while reviewing the material and locating each topic within your system. Becoming familiar with the navigation, screens, and settings ahead of time will help you gain a better understanding of the platform and make future implementation sessions more productive.
Tip: As you review these topics, make note of any questions and add them to the Items to Discuss section of the related GUIDEcx task so they can be addressed during a future implementation session if needed.
The Admin Settings panel can be accessed by clicking the gear icon in the upper-right corner of the Home screen.
Tip: In most Administration setup screens, you can add a new record by selecting the blank gray row at the bottom of the list, entering the required information, and clicking Save (disk icon).
- To modify an existing record, click the Edit icon (pencil), make your changes, and then click Save.
- If a record is no longer needed, it can be deactivated by clearing the Active checkbox and saving the record.
- To view inactive records, use the Active filter and select Unchecked.
Admin → Delivery Methods
The Delivery Methods table maintains the delivery options available within the system.
Admin → Estimate/Order → Estimate Status
Estimate Statuses are used to identify where an estimate is within your organization's quoting process. Statuses provide visibility into the lifecycle of an estimate and can be used for searching, reporting, dashboards, and workflow management.
When a new estimate is created, Midnight automatically assigns the estimate an Open status. Estimates with an Open status can appear on the Open Estimates Dashboard widget and other estimate-related reports.
When an estimate, or any of its quantity options, is converted into an order, Midnight automatically changes the estimate status to Won. This allows the estimate to be identified as successfully converted into a job.
Midnight also includes standard statuses such as Lost, which can be used to identify estimates that were not awarded after customer follow-up.
Organizations can create additional Estimate Statuses to better reflect their internal quoting process. Custom statuses can provide greater visibility into estimate progress and help teams manage reviews, approvals, and customer communications.

Please note: Organizations can configure a Global Setting to automatically assign an Order Status of Active to all newly created orders. When enabled, new orders will default to this status unless changed by the user.
Admin → Estimate/Order → Order Version Status
The following fields are available:
- Priority – Determines the relative importance of the version status.
- Name – The name of the version status.
- Default – Indicates whether the status is assigned automatically to new versions.
- Active – Indicates whether the status is available for use.
Order Version Statuses also define the columns displayed in the Version Status View on the DJB. Each order version is represented as a movable block that can be manually dragged between status columns as work progresses. When a block is moved to a different column, the corresponding Order Version Status is automatically updated on the order version record.
Admin → Estimate/Order → Undelete Orders
The Undelete Orders screen allows authorized users to restore orders that have been deleted from Midnight.
Although user permissions can be configured to control who has access to delete orders, it is still possible for an order to be deleted in error or for a previously deleted order to need to be reactivated. The Undelete Orders feature provides a way to recover these orders and restore them to the system as if they had never been deleted.
To restore a deleted order:
- Locate the desired order in the list.
- Select the Active checkbox next to the order.
- Click the Save & Close green action button.
Once saved, the order is restored and will once again appear in the Order Search screen where it can be viewed, edited, and processed normally.
Admin → Holidays
The following fields are available:
- Holiday Name – The name of the holiday.
- Rate Multiplier – The labor rate multiplier applied to work performed.
- Active – Indicates whether the holiday is currently available for use.
IMPORTANT! Do not delete or modify the “Reg” or “Regular” holiday record. This record is required for accurate tracking of regular working time.
After holidays are created, they must be assigned through Time Records in order to be reflected in reporting and calendars.
In the below screenshot, the holiday type “Vacation” is assigned to employee Kandi Apple for the week of 5/4/2026 – 5/8/2026.
Employee: Time Off Report
Provides a detailed view of Time Records where a Holiday has been applied, allowing you to track employee absences and time off.
Employee: Time Off Calendar
Provides a visual, calendar-based view of employee availability. It highlights scheduled time off and overlapping absences, making it a helpful tool for staffing and scheduling decisions.
Optional: In the example shown above for May 25, 2026, a “Company Wide” employee record was created and used to enter a Time Record representing a company-wide holiday. This approach allows the holiday to appear on the calendar without needing to assign it individually to each employee.
Admin → Job Types
The Job Types table maintains the classifications used to categorize jobs within Midnight.
Job Types are available within the Details section of an order and help identify the nature of the work being performed.
Admin → Pricing Update
The Pricing Update tool allows administrators to update Standard Service pricing in bulk. Using this tool can significantly reduce the time required to adjust pricing across large service catalogs.
Within the Pricing Update Tool, you can update all Standard Service base prices using either a percentage adjustment or a flat dollar amount adjustment. This allows you to quickly apply pricing changes across multiple services without having to update each service individually.
If the adjustment should also apply to Standard Services associated with Print Templates and Wide Format Templates, select the appropriate checkbox before running the update.
Next, enter the Adjustment Value. For example, entering 5% will increase the base price of all eligible Standard Services by 5%. You can also enter a flat dollar amount to increase or decrease pricing by a specific value.
Once you click the Update All Pricing button, the system applies the adjustment to all eligible Standard Services based on the options selected.
Important: This tool currently applies only to Standard Services. Support for Print Product Template pricing updates will be added in a future release.
Warning: This update cannot be undone. Before performing a pricing update, carefully review the adjustment value and verify that the appropriate template options have been selected. Because the update affects all eligible Standard Services, confirming your settings beforehand helps prevent unintended pricing changes throughout the system.
