Phase 3 - Session 6 Homework: On-Your-Own Topics Follow
Please review these On-Your-Own Topics and mark the associated GUIDEcx task as Complete before Session 7. These topics are intended for self-study and are generally not covered in detail during implementation sessions.
We highly recommend having Midnight open while reviewing the material and locating each topic within your system. Becoming familiar with the navigation, screens, and settings ahead of time will help you gain a better understanding of the platform and make future implementation sessions more productive.
Tip: As you review these topics, make note of any questions and add them to the Items to Discuss section of the related GUIDEcx task so they can be addressed during a future implementation session if needed.
Admin → Project Types
The Project Types table defines the project classifications available within Midnight.
Admin → Reason Codes
Change Order Reason Codes are used to document and track the reasons for modifications made to a specific service within an existing order.
This opens the Service Information window, where Change Order details can be entered for the selected service. Here is where you select the appropriate Reason Code. Once completed, the Change Order information will be associated with that service and recorded as part of the order history.
An Order Report (Work Order: Change Order) is available to print and include with a previously issued work order, providing documentation of changes requested after the order has entered production.
Admin → Shifts
The Shifts table maintains employee work schedules and shift definitions.
The following fields are available:
- Description
- Warehouse
- Start Time
- End Time
- Break Times
Avoid deleting shifts whenever possible. Removing a shift may retroactively affect historical employee time records and the accuracy of reports that rely on shift assignments. Be certain the shift is no longer needed before deleting it.
Admin → Estimate/Order → Commodity Codes
The Commodity Codes table maintains the commodity classifications used by the OneSource Nexus Tax integration. Commodity Codes identify the type of product or service being sold and provide the tax engine with the information required to determine the appropriate tax treatment.
The following fields are available:
- Code – The unique commodity code used by the tax integration.
- Description – A description of the commodity or service classification.
- Active – Indicates whether the commodity code is available for use.
Commodity Codes are assigned to standard services that may have unique taxability rules based on jurisdiction. Proper classification helps ensure accurate tax calculations and compliance with state and local tax regulations.
Admin → Estimate/Order → Dispositions
Using Dispositions provides valuable insight into estimating success rates and can help identify trends related to lost opportunities, pricing concerns, competition, timing issues, or customer decisions.
For example, a lost estimate might have a disposition indicating the customer selected a competitor, postponed the project, canceled the project, or chose not to proceed due to pricing.
The following fields are available:
- Code – A unique code used to identify the disposition.
- Disposition – The description or reason assigned to the estimate outcome.
- Active – Indicates whether the disposition is available for use.
Admin → Estimate/Order → Document Types
The Document Types table defines the categories used to classify documents stored throughout Midnight. Document Types help organize files and make it easier for users to identify and retrieve information associated with estimates, orders, customers, and other records.
Common examples include Artwork, Document File, Proof, Customer Supplied File, Vendor Document, and other document classifications specific to your organization.
The following fields are available:
- Document Type – The name of the file classification.
- Active – Indicates whether the document type is available when uploading or categorizing documents.
Please Note: Document Types are only applicable to legacy Midnight environments that have not yet enabled the Attachments Module. Organizations using the Attachments Module manage and categorize files through the attachment framework, and Document Types may no longer be utilized in the same manner.
Document Type is assigned within an estimate or order within the Attachments tab. Document Type provides context about the content and purpose of a file and helps maintain consistency when managing attachments within Midnight.
