Using the Find By Item Tool to Filter and Search Items Details Follow
Overview
Find By Item is a powerful search window inside the Jobs tab that lets you pull ad‑hoc reports of items sharing the same Product Type, description, Service, dates, and more. It is the fastest way to answer questions like “Which orders used Scoring last month?” or “Show me every postcard job for ACME Corp.”
How It Works
The tool runs in three quick steps: Set Filters → Click List → Select an Item.
Step 1 – Set Filters
From the Jobs tab choose Find › Find By Item.
Figure 1 – Accessing the Find By Item window.
A filter panel appears (numbered below):
Figure 2 – Eight flexible filters to target exactly the items you need.
- Customer – type a customer name/number or leave blank for all.
- Job Type – Orders, History Jobs, Quotes, etc.
- Date Range – pick the date field (Due, Shipped, etc.) then set Before / After / Between.
- CSR / SRep – filter by CSR and/or Sales Rep (must match both if both are chosen).
- Product Type – return items that use a specific product.
- Item Description – searches the description in the Specs window.
- Item Note – searches the note field at the bottom of Specs.
- Service Name – finds items containing a Service; begin typing and choose from the prompt.
Step 2 – Click List
Click List to run the search. Choose how results group: Product Type, Item Description, or Job Number. You can toggle between views without re‑running the search.
Step 3 – Select an Item
Highlight a row, then pick one of three actions:
- Item – opens the item’s Specs window.
- Job – takes you to the full job in the Jobs tab.
- Customer – jumps into the customer record.
The list can also be printed or exported to Excel for deeper analysis.
Key Points
- Find By Item searches items, not jobs—perfect for Service‑based questions.
- Eight filters combine to create highly specific reports.
- Grouping options (Product, Description, Job #) are interchangeable after listing.
- Results can be printed or exported straight to Excel.
- Remember CSR/SRep logic: selecting both fields requires both to match.
