Printer’s Plan: Customers and CRM – Q&A Summary
Q: What’s the difference between the Default customer and Customer 31?
A: The Default customer is a template whose settings flow into every new customer (Rep, CSR, tax, shipping, etc.). Customer 31 is the Walk‑In customer for quick transactions without a full record—convert to a real customer when they become a regular.
Q: Do customer notes only show on the customer screen, or do they print on job documents?
A: They print on job paperwork in the Special Instructions / Notes area whenever you generate a work order.
Q: Do reminders pop up automatically, or does someone need to check them manually?
A: Reminders pop up automatically at the date and time you set—no daily checking required.
Q: How do you edit the email templates used for follow‑ups, Job Link, quote follow‑ups, etc.?
A: Open the template’s HTML file, edit it (Notepad or an HTML editor), and save. Printer’s Plan prefers the HTML version and falls back to TXT if HTML isn’t present.
Q: For franchises or multi‑location companies, should locations be separate customers or contacts under a parent?
A: Choose based on billing/reporting needs. Parent/child customers give cleaner reporting and optional centralized billing. If locations behave like departments, you can keep them as contacts under a single customer.
Q: What does the “Web Orders” field represent on the customer screen?
A: It’s a flag to mark customers who place online orders (e.g., MyOrderDesk) so you can filter and target communications to those accounts.
Q: Can old walk‑in customer names be deleted?
A: Yes—after you reassign any linked jobs to a real customer. Otherwise, make the walk‑in inactive. Once jobs are moved, you can delete the walk‑in record.
Q: Can you change the customer on a job even if the job has a payment history?
A: Yes. You can reassign the job. Just watch for customer‑specific defaults (like discounts) that may apply after reassignment.
Q: Can the Job Link email template be customized directly?
A: Yes. Edit the Job Link HTML template the same way as other follow‑ups and save it back for the system to use.
