Cloud-Hosted Printer's Plan Workflow Follow
This article outlines and demonstrates Cloud-Hosted Printer's Plan's workflow and features. When migrating from a locally-hosted network installation of Printer's Plan to Cloud-Hosted Printer's Plan, please review each of these workflows as they may differ from your current workflow procedures.
Cloud-Hosted Printer's Plan Workflow Features & Descriptions
How To Access Cloud-Hosted Printer's Plan
- Cloud-Hosted Printer's Plan uses a web browser to access a virtual Windows server. The URL to gain access is printersplan.printreach.com.
- Use Microsoft RemoteApp to further enhance the connection for workstations that will use exporting, shipping labels, or
- Print Reach Software will provide initial user login credentials. Default Passwords can be changed through the web browser access.
Sending Emails
- Cloud-Hosted Printer's Plan uses your email provider's SMTP authentication information to send emails directly from the program.
- The Cloud-Hosted Printer's Plan directory has an "Email" folder containing all email templates available to use with Printer's Plan. These templates are HTML based.
- Attaching additional files to emails from Printer's Plan is possible through the RemoteApp configuration to access Cloud-Hosted Printer's Plan.
Exporting Reports
- In order to export directly to your workstation, the RemoteApp access method is required on a Windows 10 or 11 PC.
- Mac users can configure the app "The Windows App" to access the Cloud-Hosted Printer's Plan directory. Any files saved on the remote cloud-hosted server can be copied and pasted to the local workstation.
- Each workstation will need the appropriate configuration in order to export.
Creating Shipping Labels
- The RemoteApp access method is required on each workstation that needs to create shipping labels.
- The "Shipping Data" file path in the Printer's Plan Main Menu option "Change Data Source Folders" will be set to a local save location such as "C:\PrintersPlan".
- In the decided directory on your workstation, a "Shipping Label.txt" can be written containing shipping record data from Cloud-Hosted Printer's Plan.
- A Microsoft Word Macro-Enabled Template can be configured on your workstation to access the data on "Shipping Label.txt" in order to populate variable fields.
- A macro is recorded on the shipping label in order to auto-populate data once the file is opened.
- The shipping label can be printed to your decided label printer.
Attaching Job Documents
- The RemoteApp access method is required to transfer files from your local network to the Cloud-Hosted Printer's Plan server.
- Through the "File Explorer (Work Resource)" app added via the RemoteApp connection, files must be copied and pasted into a Job Documents directory.
- Once the files are copied, Cloud-Hosted Printer's Plan will be able to locate and link to the files through the traditional attachments workflow in Printer's Plan.
Printing To Local Printers
- Web Browser Access Method: Clicking "Print Now" in the "Print & Email" window will create a PDF and save the file to your workstation's downloads folder. Once the PDF is downloaded, open the PDF with your preferred PDF viewer and print to a local printer.
- RemoteApp Access Method: The RemoteApp on Windows workstations ( The Windows App for Mac users) will allow Cloud-Hosted Printer's Plan to access all printers the workstation has access to. Just choose "Print To" in the "Print & Email" window for Printer's Plan and choose the redirected printer.
- Defaults set in Cloud-Hosted Printer's Plan will not be retained for any printers that are redirected through the RemoteApp. Using the "Print To" workflow is recommended.
- PDF Printing is possible through both web browser access method and RemoteApp access method. Web browser users will create PDFs via the standard "Print Now" workflow to create a PDF. The RemoteApp can use multiple PDF printers such as Microsoft Print To PDF or Adobe to create a PDF that can be saved to the workstation directly.
- PDFs created by Cloud-Hosted Printer's Plan are saved in a directory "PlanPDFs" within the installation directory on Cloud-Hosted Printer's Plan. RemoteApp users can access these directly to copy and paste by accessing the "Explorer (Work Resource)" app that the RemoteApp provides.
