Midnight 2025 Recap - Features and Enhancements Follow
Accounting
QuickBooks Accounting Export Improvements
The QuickBooks accounting export has been refined to improve accuracy and alignment with invoicing workflows. Movements of earmarked funds to escrow are no longer included, program fees now export as invoices instead of cash sales, and the IIF file includes both invoice and payment details for program fees—making reconciliation and QuickBooks imports more consistent and reliable.
Accounting Export Grid Account Filtering
The Accounting Export grid now includes a new Account column, enabling users to filter exports by postage payment account directly within the grid. Account data is preserved in both CSV and PDF downloads, and exports reflect the current grid state—including applied filters and selected rows—restoring key functionality from the legacy export while improving flexibility in the new experience.
API
Order Quick Add API – Service Detail UDFs Now Included
Enhanced the Order Quick Add API to support copying Order Service Detail User Defined Fields (UDFs) when duplicating an existing order. Previously, these UDFs were not carried over, causing confusion for users. This update ensures consistency with other order data and improves the reliability of automated order creation processes.
SOAP API Urgency Field Support
The SOAP API was enhanced to fully support the Urgency field, bringing it into parity with the REST API. Integrations can now insert, update, and retrieve Urgency values through SOAP, and the OrderQuickAdd and OrderNew methods correctly carry this field during order creation—ensuring consistent behavior across workflows while maintaining backward compatibility.
API Support for Batch Reporting
Batch Reporting capabilities were extended with new REST APIs, enabling customers to automate report generation without using the Midnight UI. Integrations can programmatically select orders, choose report templates and output formats, name batches, and retrieve completed files, which are stored in Print Reach Drive for consistency with the UI experience. This enhancement supports scalable, automated reporting workflows and expands access to high‑volume reporting functionality.
CRM
Improved CRM Stability Across Multiple Tabs
The CRM module was enhanced to better manage customer data when multiple records are open at the same time. Improvements to how CRM data is handled across tabs help prevent conflicting updates and ensure customer names and account details remain consistent—strengthening overall data integrity during CRM workflows.
Digital Job Board (DJB)
Default Column Visibility in DJB Order View for New Employees
Fixed an issue where newly created employee accounts had all columns in the DJB Order View unchecked by default, resulting in an empty display. The system now defaults to all columns being visible (checked), improving usability and reducing confusion.
File Management
The Print Reach Drive File Manager: A Centralized Hub for Your Documents
We're excited to announce this powerful tool that gives you a robust overview and complete control over all files and storage within your Midnight environment. This feature is available upon request, as there is a migration period for your current files. More details can be seen here. Please let us know if you would like a priority order on the waitlist.
Print Reach Drive on Purchase Orders
Print Reach Drive marked a major platform enhancement, launching a new, centralized approach to file and asset management within Midnight. Its initial rollout on Purchase Orders enables teams to upload, manage, and track documents directly within POs, with clear visual indicators when files are attached. This foundational release sets the stage for expanding Drive across many more areas of the system, creating a consistent, system‑wide solution for managing digital assets. Inventory
Midnight Inventory Now Available as a Web App
Midnight Inventory has been rebuilt as a modern, browser‑based web app, delivering the same inventory capabilities without the limitations of a mobile‑only iOS application. The new experience supports cross‑platform access from desktop, tablet, or phone, requires no app store installation, and enables immediate updates—making inventory management more flexible and easier to keep current. Select here for more details.
Improved Inventory Tracking on Orders
Inventory handling on orders was enhanced to ensure that pulled, reserved, and deducted quantities from item requests (such as delivery or destruction) are accurately reflected. Order and item records now consistently display correct quantities and order references, including when using Add Delivery Ticket—providing clearer, more reliable inventory visibility across workflows.
Invoicing
AR: Customer Statement Report Enhancements
The AR Customer Statement report has been updated to better support invoicing by displaying both invoice and order numbers on separate lines. This improved format clearly associates PO numbers, total amounts, paid amounts, and balances due to each individual order, making reconciliations and account reviews easier and more accurate.
Line‑Item Details Pop‑Up Consistency Updates
The Line‑Item Details pop‑up now reflects the latest invoice view enhancements, with updated column names, a newly added Tax column, and negative amounts displayed in parentheses. These improvements ensure greater clarity and consistency when reviewing invoice line items and financial details.
Use Invoicing "Save and Pay" with the Midnight Payment Screen
When creating an invoice from Midnight accounting or from the order, selecting "save and pay" will now launch the Midnight payment screen directly. This streamlines the payment process, allowing you to utilize various Midnight payment methods without extra steps.
Invoice Layout Improvements
To support a smoother transition to the new invoicing feature, invoices now mirror the familiar layout used in Stimulsoft reports. Invoices now display service and postage subtotals separately at the bottom, including their respective taxes, along with the grand total and any payments. This consistent layout—used across standard and group invoices, printing, emailing, and reports—makes it easier to review totals and balances at a glance.
Postage Line on Invoice Now Uses Sell Rate (If populated)
Updated invoice behavior so that when a Sell Rate is entered in the Postage tab of an order, the postage line on the invoice will now display and use that Sell Rate directly. If the Sell Rate is $0.00, the system will revert to using the Qualified Rate. This ensures accurate and transparent rate presentation, preventing confusion caused by previous behavior where the rate was inferred from the total.
Option to Use Expected Quantity on Invoice Display
Invoicing was enhanced with the option to display quantities using either a standard value of 1 or the Expected Quantity defined at the version or order level. This added flexibility improves billing accuracy and transparency across version‑level, order‑level, and mixed invoice displays, while ensuring consistent quantity handling for multi‑version and multi‑order invoices.
Orders
Order Postage User Defined Fields (UDFs)
Order Postage was enhanced with support for User Defined Fields (UDFs), allowing teams to capture additional, configurable postage‑specific data for reconciliation and imports. These fields appear within the Postage Reconciliation workflow and are supported in Pitney Bowes and Neopost postage imports—providing greater flexibility and consistency with UDF capabilities available elsewhere in the system.
Group Billing Performance Enhancements
Group Billing was optimized to improve performance and usability when working with large jobs. Pagination was added to prevent timeouts, with independent controls for each detail panel; totals moved to the top for better visibility, and smoother scrolling supported by loading indicators—resulting in a faster, more responsive billing experience.
Payments
Additional Clarity for “Other” Payment Type
The “Other” payment method now includes a Description field that appends the "Type Name” wherever it appears. This added detail improves visibility and understanding of “Other” payments across invoices, reports, and payment views, reducing ambiguity during review and reconciliation.
Payment Record UI Improvements
The payment record interface has been refined to improve usability after refunds and when creating credit payments. Save actions now behave more predictably; unnecessary error prompts have been eliminated in specific scenarios, and users can add and save notes at any time—making payment updates smoother and more reliable.
Updated Column Label in Payment Record
We renamed the “Payment Type” column to “Details” for consistency and clarity. This column reflects the type of service (e.g., Services, Postage, Earmark, Escrow) rather than the actual payment method. No change was made to the data itself.
Email Requests for Earmarked Funds Now Reflected in Orders
E-mailed payment requests for earmarked funds are now automatically recorded within the associated order. This ensures that the order clearly shows the requested amount and payment status, streamlining both customer communication and internal visibility.
Postage Application Performance Resolved
Fixed an issue when applying postage to multiple orders from the postageApplyPayment.aspx page resulted in time out errors. The page now supports bulk updates reliably, and pagination has been added to the adjustment view for improved load performance. Users can now apply postage to multiple orders and save/close successfully, restoring expected workflow efficiency.
Improved Visibility into How Payments Are Made
You can now easily see how each payment was initiated directly in Midnight. Payments are clearly labeled as Consumer (paid by the customer via a payment link or Print Reach Central), Merchant (entered manually by your team in Midnight), or System (automatically created by the system). This information is available across the Payments tab, Earmarked Deposits, and accounting payment details—making it quick to verify payment origins without switching tools. The result is better transparency, easier reconciliation, and consistent insight for both new and historical payments.
Print Calculators and Templates
Improved Cost Calculations for Zero‑Quantity Scenarios
The Print Calculator now correctly returns a total price of zero when the quantity is set to zero, ensuring no costs or markup are applied. This removes confusion in zero‑quantity scenarios and allows teams to use the calculator for planning or configuration without unintentionally generating charges.
Prompt to Update Press and Stock Details When Copying Orders
Also, part of the customer-voted enhancements from the 2024 Reach on the Beach. When copying an order, the system now prompts users to update press and stock details if the linked template has changed since the original order. This reduces manual checks, helps prevent mistakes, and speeds up order creation while giving teams confidence to apply updates or keep existing settings.
Reports
Batch Reporting for Orders
Driven by customer feedback from 2024 Reach on the Beach, we introduced Batch Reporting, allowing you to generate reports for multiple orders at once. With just a few clicks, select your orders, choose a report template and format (PDF or CSV), and let the system handle the rest—saving significant time for high‑volume reporting. Built with Print Reach Drive. Select here for more details.
Improved Invoicing Report Visibility
When Midnight Invoicing is enabled, invoice stock reports under the “Order Report” folder (used in pre-invoicing workflows) will now be hidden to reduce confusion. The exception is the "Midnight Invoicing (Beta Report)", which remains visible as it supports the current invoicing feature, and any custom or user modified invoice reports will also remain visible.
Settings
Employee Search Usability Improvements
The Employee Search page was enhanced to make access management faster and clearer. A new Access column provides instant visibility into employee login and kiosk status, while a clearly labeled All option in the Active filter simplifies viewing active and inactive employees together—reducing manual checks and improving day‑to‑day administration.
Shop Floor
Audit Log Enhancements for Shopfloor Login/Logout
Improved audit log consistency by aligning Shopfloor login and logout tracking with the Midnight audit log format. Now, all Shopfloor identity and kiosk login/logout events are clearly recorded and displayed in the audit log. This ensures traceability and a unified audit experience across both applications.
