Set up Multiple Email Addresses on a Single Contact Follow
Adding additional email addresses to a contact
You may have a contact who requires you send the email to multiple recipients when you email them. Likewise, you might have a customer who requests that when you send invoices, you always send the email to specific individuals at their location. Rather than manually trying to track these scenarios and possibly not including the right individuals each time, you can set this up in Midnight.
Depending on your needs, you may create a special contact for these purposes or you can add the secondary emails to the existing contact record. If more than one email address is entered as the business address for a contact, Midnight will populate those addresses when using the email function within Midnight. (You do not have to manually type the additional addresses when sending emails if they are recorded on the contact.)
To add an additional email address to a contact, go to the CRM module. On the search screen, locate the customer for the contact you wish to update. When you select the customer record, click on the Contacts tab.
Click on the contact who needs the additional email address. In the contact's business email address field, enter the contact's email address and add any extra addresses using a comma as a separator, no space.
If there are two addresses as in this example, in the contact's business email address field, enter the two email addresses separated by a comma with no space. This format will enable both recipients to receive the email when the contact is selected.
The final layout should look similar to this: email1@email.com,email2@email.com.
When you select the contact for the email function within a report, both email addresses will populate into the to field.
Know that you may choose to enter contacts in Midnight solely to make use of this function as contacts may be actual individuals or entities representing a grouping used for email. Some users add contacts such as "Estimate Approval" or "Email Invoices" to help the team know which entity to select when emailing specific reports from Midnight
