Understanding the CRM in Midnight and How to Add New Customers Follow
Midnight enables you to maintain important customer information in a centralized location, making it easy to manage relationships, provide accurate pricing, and access historical customer activity. This information helps streamline daily operations and supports faster quote creation, order entry, and customer service.
The Customer Relationship Management (CRM) module allows you to maintain:
- Customer addresses, phone numbers, and contacts
- Bill-To and Ship-To addresses
- Customer-specific pricing
- Historical customer information and activity
The CRM screen serves as the primary workspace for managing customer records. From this screen, users can access related areas throughout the system, including estimates, orders, call schedules, customer interactions, and reports.
The CRM module can be accessed from the CRM tab within the Customer Service section of Midnight.
Customer Search
The filters are:
- Customer: Customer name.
- Code: Unique customer code
- Address: Customer address.
- City: Customer city.
- Zip: Customer ZIP/postal code.
- State: Customer state or province.
- Phone: Customer business phone number.
- Type: Customer classification, such as Customer or Prospect.
- Rep: Assigned sales representative.
- CSR: Assigned customer service representative.
- Active: Indicates whether the customer record is active.
To add a new customer, click New Customer button and enter the customer information according to your company's procedures. Complete as many fields as possible, then click Save & Close.
Once saved, the customer record is added to Midnight and is immediately available for use when creating estimates and orders.
Customer Details Screen
The Customer Details screen displays information for the selected customer. The fields available on this screen include:
- Customer Code: Unique, user-defined code used to identify the customer.
- Customer Name: Customer company name.
- Address 1: Primary street address.
- Address 2: Secondary street address. This field is concatenated with Address 1 when printed on Estimates, Credit Memos, Invoices, and Postage Prepay Invoices.
- City, State, Zip, Country: Customer location information. For international or Canadian customers, you may enter the city, province, postal code, and country in the City field and leave the remaining location fields blank.
- Phone: Customer business phone number.
- Fax: Customer fax number.
- Email: Customer email address.
- Website: Customer website URL.
- Terms: Payment terms assigned to the customer. These terms default on estimates and orders.
- Active: Indicates whether the customer is currently active and doing business with your organization.
- Source: Indicates how the customer or prospect was acquired, such as a referral, trade show, website inquiry, or sales outreach.
- Customer Type: Classification of the record, such as Customer, Prospect, or another organization-defined category.
- Parent Company: Links the customer to a parent organization when the customer is part of a larger corporate structure.
- CSR: Assigned customer service representative responsible for managing the account.
- Sales Rep: Assigned salesperson responsible for the customer relationship and sales activity.
- Industry: Industry or market segment associated with the customer, such as Healthcare, Manufacturing, Education, or Financial Services.
- Account Status: Indicates the current status of the account, such as Current, Overdue or Problem.
- Alternate Code: Additional customer identifier that can be used for cross-referencing external systems.
- MOD Provider ID: Unique identifier used for the MyOrderDesk integration.
Open Activities
The Open Activities screen displays all open activities currently assigned within the system. Use Filter Options to narrow the results and focus on specific activities, users, customers, dates, or other criteria.
This screen provides a centralized view of pending tasks and follow-up items, helping users monitor and manage outstanding activities.
Real-Time Activities
The Real-Time Activities screen displays completed activities in chronological order, with the most recently completed activities shown first.
This screen provides visibility into customer interactions and account activity, including calls, meetings, proposals, follow-ups, and other tracked actions. Users can review recent activity, monitor progress, and gain insight into ongoing sales and customer service efforts.
Contract Pricing Search
Clicking on any of the project names takes you to the Project screen.
