CRM Customer Tabs Follow
Detail
The Detail tab contains additional customer information, including several default settings that can automatically populate on new estimates and orders created for the customer.
Fields available on this tab include:
- Source: Select the source that identifies how the customer was acquired or referred.
- CSR: Select the customer service representative responsible for the account.
- Account Status: Specify the customer's current account standing, such as Good Standing or Overdue.
- Exemption #: Enter the customer's resale tax exemption certificate number.
- Commission %: Enter the commission percentage used for the Accounting: Commission Report. (This field is system-reserved as CustomerUDF26.)
- Customer Type: Select the category that best describes the account, such as Customer, Prospect, or another defined type.
- Sales Rep: Select the sales representative assigned to the account.
- Alternate Code: Enter an optional alternate code for the customer record.
- Fulfillment CustomerID: System-reserved field.
- Parent Company: If the customer belongs to a larger organization, select the associated parent company.
- Industry: Select the customer's industry from the available list.
- MOD ProviderID: System-reserved field.
To save the information you entered on this screen, click the Save or Save & Close buttons in the upper right of the screen.
Shipping/Billing
By default, the Bill-To and Ship-To addresses are populated with the primary address entered on the General tab of the customer record. If the customer has different billing or shipping locations, you can update these addresses accordingly.
Note: The Bill-To and Ship-To address fields are required and cannot be left blank.
The fields on this screen are:
Shipping Address
- Contact: Enter the primary contact for this shipping location.
- Company Name: The name of the company receiving shipments.
- Address 1, 2, 3: Enter the street address information for the shipping location.
- City, State/Province, Zip/Postal Code: Specify the city, state or province, and postal code for the shipping address.
- Country: Select the country where the shipping location is located.
- Ship Via: Select the default shipping method to be used for deliveries to this address.
Billing Address
The Billing Address section contains the same fields (except Ship Via) as the Shipping Address section and is used for invoicing purposes. Enter the appropriate billing contact and address information for the customer.
Notes
Contacts
Clicking on a contacts name brings up more information about them. The Deactivate button hides the contact from the active list, but you can reactivate them by un-checking the "Display active contacts only" checkbox, and clicking the Activate button on the contact that you want to make active again.
Add Contact
Since many of the contact fields have been covered in previous sections, this section focuses on the fields that have not yet been discussed.
- Salutation: Select or enter the preferred form of address for the contact, such as Mr., Ms., Dr., or Mrs.
- Suffix: Enter any name suffix associated with the contact, such as Jr., Sr., III, or CPA.
- Title: Enter the contact's job title within the organization, such as General Manager, President, Sales Manager, or Accountant.
- Default Payer: Designates the contact as the default individual responsible for receiving invoices or handling payment-related communications for the customer account. This contact will be automatically selected when payment or billing information is required.
- Contact Type: Select the category that best describes the contact's role or department, such as Billing, Shipping, Sales, or another defined contact type.
Pricing
Midnight allows you to define customer-specific pricing for individual customers. This pricing can be configured in one of two ways:
- Fixed Unit Price: Set a specific price per unit for a service.
- Percentage Discount: Apply a percentage discount to the standard calculated price.
Customer-specific pricing can be used to support a variety of pricing strategies, including negotiated rates, long-term contract pricing, and customer discounts. It can also be used to increase pricing for customers whose work requires additional time, complexity, or special handling.
In addition, you can establish a customer-specific minimum charge for any service to ensure pricing aligns with your business requirements.
Customer-specific pricing must be configured for each service where special pricing is required.
Midnight pricing can be driven by volume discounts and pricing wizards that calculate rates automatically. When a Discount % is entered, the discount is applied after all volume discounts and wizard calculations have been completed. When a Rate is entered, the customer-specific unit price overrides the standard calculated pricing, including any volume discounts and wizard-generated rates.
Regardless of whether a discount or customer-specific rate is used, the Minimum Price will always be enforced. This ensures that the final service price does not fall below the defined minimum charge.
The fields available on this screen include:
- Service Name: Select the service for which customer-specific pricing should be applied.
- Service Base: Displays the standard unit price for the service. This is a read-only field that pulls from the service setup in Administration.
- Service Minimum Price: Displays the standard minimum charge for the service, if one has been defined. This is a read-only field.
- Rate: Enter a customer-specific unit price for the service. When populated, this rate overrides the standard calculated pricing.
- Discount: Enter a customer-specific discount percentage to be applied to the calculated service price.
- Minimum Price: Enter a customer-specific minimum charge for the service. This minimum will override the standard service minimum when applicable.
Contracts
Contracts allow you to define special contract pricing arrangements for a group of products and services that can be applied to Orders. This provides a convenient way to manage contract pricing agreements and ensure consistent pricing across related items.

Postage Details
The fields on this tab include:
- Mailer ID (MID): Enter or select the customer's USPS Mailer ID.
- Permit #: The customer's USPS permit number used for mailing.
- Ghost #: The customer's Ghost Mailing Permit number, if applicable.
- Non-Profit Authorization # (NPA): The customer's USPS non-profit authorization number.
- Customer Registration ID (CRID): The customer's USPS Customer Registration ID.
- Postage Markup Type: Determines whether the postage markup is calculated as a percentage or a fixed dollar amount.
- Postage Rate Markup: Specifies the markup amount to be applied to postage charges.
The Payment Accounts section, located in the lower portion of the tab, displays the postage payment accounts available for the customer.
Select the blue Edit button next to a payment account to update its information or deactivate the account if it is no longer in use.
For fields that include a green plus (+) icon, select the icon to open the associated setup screen where you can add or maintain the available values for that field.
Attachments (Legacy)
Attachments (Print Reach Drive)
Print Reach Drive and the File Manager provide a centralized, searchable repository for managing files within Midnight. Designed to simplify file organization and storage management, the File Manager gives you greater visibility into how files are used throughout the system.
With the File Manager, you can quickly locate files, see where they are linked, and identify files associated with multiple records, such as a single document attached to several jobs. This enhanced visibility helps you better manage your data, maintain organization, and optimize storage usage.
Open Estimates and Orders
The Open Estimates and Open Orders tabs provide visibility into active Estimates and Orders associated with the selected customer.
- Estimates with a disposition of Won or Closed are not displayed.
- Orders that have a Closed Date are not displayed.
These tabs serve as a quick view of the customer's current activity. Selecting Open Estimates or Open Orders displays a list of active records for the customer. Clicking the Estimate/Order Number or Project Name opens the corresponding record for further review or editing.
The fields displayed include:
- Estimate/Order #: The unique number assigned to the Estimate or Order.
- Project: The name of the project associated with the Estimate or Order.
- Estimate/Order Date: The date the record was created.
- Sales Rep: The sales representative assigned to the record.
- CSR: The customer service representative assigned to the record.
- Quantity: The quantity estimated or ordered.
- Drop Date: The scheduled drop or delivery date, when applicable.\
The fields on this screen are largely the same as the Estimates screen, with some minor differences.
Pending
The Pending tab displays all open activities scheduled for the customer. From this tab, you can view upcoming tasks, follow-ups, appointments, and other activities that require action. New activities can be scheduled from either the Pending tab or the History tab.
- View: Opens the activity record, allowing you to review or update its details.
- Complete: Marks the activity as completed, removes it from the Pending tab, and moves it to the History tab for future reference.
This tab provides a convenient way to manage outstanding customer-related activities and track follow-up items.
The Schedule Activity screen is used to record customer interactions, schedule follow-up tasks, and maintain a history of account-related communications and activities.
The fields on this screen include:
- Contact: Select the customer contact associated with the activity.
- Activity: Select the activity type, such as Call, Appointment, Email, or another defined activity.
- Description: Enter a brief summary of the activity.
- Estimate: Associate the activity with a specific Estimate, if applicable.
- Order: Associate the activity with a specific Order, if applicable.
- Phone: Displays the phone number of the selected contact.
- Email: Displays the email address of the selected contact.
- User: Identifies the user creating the activity. This field defaults to the currently signed-in user.
- Date: The date the activity was created or scheduled.
- Time: The time the activity was created or scheduled.
- Reminder: Set a reminder date and time for the activity.
- Comments: Enter detailed notes, follow-up information, or additional comments related to the activity.
History
The History tab displays completed activities that have been recorded for the customer. Like the Pending tab, you can create new activities from this screen.
Only completed activities are shown in the History tab. Activities that remain open or incomplete will continue to appear in the Pending tab and will not be displayed in History until they have been marked as complete.
This tab provides a historical record of customer interactions, communications, appointments, and other account-related activities for future reference.
Portal
The Portal tab is used to manage customer portal users and their access permissions. From this screen, you can add, update, and maintain users who have access to the Client Portal.
Access to specific areas of Midnight is controlled through the module checkboxes. Selecting a checkbox grants the user access to that module, allowing you to customize portal permissions based on each user's role and responsibilities.
Wallet
The Wallet tab displays the payment methods associated with the customer account, including any saved credit cards.
To add a new payment method, select the Add Payment Method button and enter the required payment information. Saved payment methods can then be used for customer transactions and payment processing within Midnight.

Settings
The Settings tab contains customer-specific configuration options related to payment processing, tax settings, and account notifications. These settings allow you to customize how the customer is billed, whether taxes are applied, and whether account warnings are displayed to users.
Payment Settings
The Payment Settings section controls the payment methods available to the customer and any applicable program fees.
- Supported Payment Method: Select the payment methods the customer is permitted to use, such as ACH, Credit Card, or both.
- Enable Customer Program Fee Override: Allows customer-specific payment program fee settings to be defined instead of using the system defaults.
- Enable Credit Card Program Fee on Services: Applies a credit card processing fee to service charges.
- Enable Credit Card Program Fee on Postage: Applies a credit card processing fee to postage charges.
- Enable ACH Program Fee on Services: Applies an ACH processing fee to service charges.
- Enable ACH Program Fee on Postage: Applies an ACH processing fee to postage charges.
For each fee type, you can specify whether the fee is calculated as a percentage or fixed amount and enter the corresponding value.
Tax Details
The Tax Details section controls the customer's tax settings.
- Taxable: Indicates whether sales tax should be applied to the customer.
- Tax Jurisdiction: Select the tax jurisdiction used to calculate applicable taxes.
- Tax Exemption: Select the customer's tax exemption status, if applicable.
Account Warning
The Account Warning section allows you to display important messages to users when accessing the customer record, creating a new estimate, and creating a new order.
- Active: Enables or disables the warning message.
- Warning Message: Enter account-specific notes or alerts, such as collections status, special handling instructions, or other important information users should be aware of when working with the customer.
Account warnings help ensure that important customer information is immediately visible to users throughout Midnight.
