Departments (Employees) Follow
The Departments screen is used to create and manage the departments that employees are assigned to within Midnight. Departments should represent the functional areas of your business where employees work. Common department examples include:
- Accounting
- Administration
- Customer Service
- Human Resources
- Information Services
- Production
- Sales
- Shipping / Receiving
- Warehouse
Important: Departments are assigned to employees and should not be confused with Service Types (also known as Production Departments). Departments are used for employee tracking and reporting, while Service Types are used to categorize services for estimating, production, and job costing.
To access the Departments screen, navigate to Admin Settings > Departments.
To create a new department, enter the department name in the blank gray row at the bottom of the screen and click Save. Once created, the department will be available for assignment on employee records.
To edit an existing department, click the Edit icon, make the necessary changes, and save the record.
To deactivate a department, click the Edit icon and clear the Active checkbox. Inactive departments will no longer be available for selection when assigning departments to employees, but historical records will be preserved.
To view inactive departments, change the Active filter dropdown to Unchecked. This allows you to review, reactivate, or modify departments that are no longer active in the system.
Best Practice: Rather than deleting departments that have been used historically, deactivate them to preserve labor, employee, and reporting history while preventing future use.
