Employee Information Follow
At the top of the screen are several search and filter fields that can be used to narrow your results and quickly find specific employees. Available filters include:
- Name
- Title
- Department
- Access
- Employee #
- Employee ID
- Supervisor
- Hire Date
- Active Status
Use any combination of these fields to refine your search results. Once you locate the desired employee, click the employee's name to open the record and make the necessary updates.
Adding New Employees
To create a new employee record, click the New Employee button from the Employee Search screen. You can also access the employee creation screen through the Quick Links menu.
The Employee Entry screen allows you to configure employee information, including:
- Contact details
- Employee roles and responsibilities
- Dashboard widget preferences
- Job costing parameters
- Security roles and permissions
If the employee requires access to Midnight, be sure to:
- Select the Midnight Access checkbox.
- Enter a valid and unique Work Email address, as this email address will serve as the employee's username when logging into Midnight.
The Work Email address is required for system access and user authentication. Without a valid Work Email address, the employee will not be able to log in to Midnight. Additionally, each employee must have a unique email address, as duplicate email addresses cannot be used for multiple user accounts.
Roles Tab
The Roles tab determines where an employee's name will appear throughout Midnight. These selections control visibility in various lists and dropdown menus within the system.
Note: The Roles tab is separate from Security Roles, which are assigned on the Permissions tab. Roles determine where an employee appears in the system, while Security Roles determine what the employee can access and perform.
Select all roles that apply to the employee, click Save & Close to save the employee record and exit the screen.
- CSR (Customer Service Representative) – Allows the employee to be selected as a CSR in the CRM, Estimate, and Order.
- DP (Data Processing) – Displays the employee in Data Processing Initials fields.
- POs (Purchase Orders) – Displays the employee in Purchase Order-related fields and processes.
- Sales – Allows the employee to be selected as a sales person in the CRM, Estimate, and Order.
- Warehouse – Displays the employee in Inventory Receipt and warehouse-related functions.
Assigning the appropriate roles ensures employees appear in the correct areas of Midnight and can be selected where needed during daily operations.
Permissions
The Permissions section is where you assign the employee's Security Role. Security Roles determine which areas of Midnight the employee can access and what actions they are authorized to perform within the system.
Select the appropriate Security Role based on the employee's job responsibilities and required level of system access, click Save & Close to save the employee record and exit the screen.
Dashboard
Use the Dashboard tab to specify which widgets will be displayed on the employee's Midnight home screen.
The Midnight Dashboard is a powerful, customizable workspace that provides users with quick access to important information and key system activities. Dashboard widgets allow employees to view data that is most relevant to their role, helping them monitor workload, identify priorities, and take action directly from the home screen.
Job Tracking
Data entered in this section will be used for the job-costing module in Midnight. For companies using our Shop Floor Data Collection please see Shop Floor Data Collection - Setup for the additional fields required.
If you are not using one of the automated job costing modules for Midnight, all you need to enter in this screen is the Wage Rate for the employee. The Burden Rate field can also be used to include overhead costs for each hour of production time captured in the job costing system.
Disabling Employee Records
To deactivate an employee record, open the employee's profile and clear the Active checkbox located beneath the Employee ID Number on the right side of the screen.
Deactivating an employee prevents the user from accessing Midnight while preserving the employee record and all associated historical data for reporting and auditing purposes.
If the employee has been terminated, you may also enter a Termination Date (Term. Date) in the record to maintain an accurate employment history.
Once you click Save & Close, the employee record will be marked as inactive and the user will no longer be able to sign in to Midnight. The account can be reactivated at any time by reopening the employee record, selecting the Active checkbox, and saving the record again.
