Other Administrative Lists Follow
Throughout Midnight, many fields use drop-down lists that allow users to select predefined values. For example, the Post Status field in the Data/Postage section of the Order screen uses a drop-down menu to ensure consistent data entry.
Most drop-down lists can be managed from the Administrative section of Midnight. The following lists can be maintained there and are not covered in other setup articles:
- Account GLIDs – General Ledger account codes used throughout Midnight.
- Account Item Codes – Item codes used to link Midnight transactions to your accounting system.
- Delivery Methods – Methods used to ship materials. These options appear on the Shipping tab of the Order screen.
- Departments – Department categories assigned to employees and machine records.
- Issue Types – Categories used to classify production issues logged against jobs.
- Itemization Categories – Service grouping categories used for sales reporting and analysis.
- Machines and Machine Departments – Equipment records and their departmental groupings used for job costing and scheduling.
- Operation Codes – Codes used when entering labor and production time in the Job Costing system.
Postage Lists
- Mail Category: Defines the USPS mailpiece category used for the mailing, such as Letters, Flats, or Parcels. This field is part of the Postage Sorting section on the Estimate and Order screens and appears on the Work Order.
- Mail Class: Defines the USPS mail class, such as First-Class Mail, Marketing Mail, Periodicals, or Package Services. This field is part of the Postage Sorting section on the Estimate and Order screens and appears on the Work Order.
- Mail Geography: Defines the geographic distribution associated with a mailing, such as Local, Regional, or National. This field is part of the Postage Sorting section on the Estimate and Order screens and appears on the Work Order. While commonly used to identify mailing geography, it can also be repurposed to track the USPS entry facility where the mail is entered, such as BMEU, SCF, or NDC.
- Mail Sort: Defines the presort or mail preparation method used for the mailing, such as Automation, Carrier Route, 5-Digit, AADC, or Mixed AADC. This field is part of the Postage Sorting section on the Estimate and Order screens and appears on the Work Order.
- Post Office: Defines the USPS entry facility where the mailing will be entered, such as a local Post Office™, Sectional Center Facility (SCF), or Network Distribution Center (NDC). This field is part of the Postage Sorting section on the Estimate and Order screens and appears on the Work Order.
- Postage Status List: Defines the current status of postage funding or approval for a mailing. Common statuses might include On Order, Funds Received, or Approved to Mail. This field is used in the Postage Sorting section of the Order screen to help track postage readiness and ensure postage requirements have been met before mail is released to the USPS. It appears on the Work Order and select Production Schedule reports.
CRM Lists
- CRM Activity List: Defines the activity types available when creating, scheduling, and completing CRM activities.
- Customer Type List: Defines the available Customer Type values used to categorize customer records within the CRM.
- Customer Source: Defines the available source values used to track how new customers or prospects were acquired (for example, Referral, Website, Trade Show, or Existing Customer).
- Industry: Defines the industry categories available for classifying customers and prospects within the CRM.
Warehouse Locations Lists
- Bay: Defines a specific bay or segment within a section of racking.
- Item Types: See article on Item Type Setup for more information.
- Location: Defines the complete warehouse location code, including the warehouse, section, bay, and slot/shelf components.
- Location Type: Defines the type of storage location, such as Rack, Floor, Bin, or other storage classifications.
- Section: Defines a row or grouping of storage locations within a warehouse, typically representing a row of racking.
- Size: Defines the size categories or labels used to classify inventory storage locations.
- Slot/Shelf: Defines an individual storage position within a bay.
- Unit Conversion: Defines unit-of-measure conversions used for inventory transactions and stock management. See the Unit Conversion Setup article for additional information.
- Warehouse: Defines the warehouse or storage facility identifier. Warehouses serve as the top level of the location structure and contain one or more sections, bays, and slots.
