Admin Settings Menu Follow
The Admin Settings panel can be accessed by clicking the gear icon in the upper-right corner of the Home screen.
In most Admin setup screens, new entries can be added by selecting the blank gray row at the bottom of the list, entering the required information, and then clicking the Save button on the right side of the row. Once saved, the new entry will be added to the system.
Accounting
The Accounting menu contains four setup options used to manage accounting-related data within the system.
- Account GLIDs: Displays the General Ledger IDs (GLIDs) available in the system. GLIDs are used to map revenue and other financial transactions from Midnight to your accounting system. The GLIDs configured in Midnight should align with the accounts defined in your accounting software to ensure accurate financial reporting and integration.
- Account Item Codes: Contains item codes used to map to your Items List which is typically used in the QuickBooks accounting system.

Postage Account: Displays the postage accounts available in the system. These accounts are maintained within a customer record under CRM > Postage Details > Payment Account.
- Postage Types: Lists the postage transaction types available in the system, such as Escrow and Earmarked, and other postage-related categories.
API XML Tool (SOAP): This screen lets you test the Midnight API on your live site. This tool is only available if you have purchased access to the Midnight API.
CRM
The CRM menu contains five setup options that support customer relationship management activities within Midnight. These settings control the values available throughout the CRM module.
- Activity Type: Defines the activity categories used to track customer interactions and follow-up tasks within the CRM module.
- Contact Types: Contains the classifications used for contacts, such as Billing, Company, CSR and Sales Rep. These values are available in the Contact Type field when viewing or editing a contact record.
- Customer Type: Defines the categories used to classify customer records, such as Customer, Prospect, or other organization-specific types.
- Customer Source: Lists the sources used to identify how a customer or prospect was acquired, such as Referral, Telemarketing, Website, or other lead sources.
- Industry: Contains the industry classifications assigned to customer records. These values help categorize customers by their business type and are available throughout the CRM module.
Delivery Methods: Contains the delivery options available in the system, such as FedEx, UPS Ground, local courier services, and other shipping methods used to deliver jobs to customers.
Departments: Defines the organizational departments within your company, such as HR, IT, Sales, Production, and other business units that are assigned to employees.
Employees: Displays all employee records in the system. From this screen, you can add or edit employee information, activate or deactivate employee accounts, and manage user login credentials and system access. For additional information, refer to the Employee Information article.
Estimate/Order
- Commodity Codes: Maintains the commodity codes used in OneSource Nexus Tax integration to classify products and services for tax purposes.
- Disposition: Contains the available disposition codes used with Estimates in conjunction with the estimate status, and they allow users to indicate particular reasons an estimate may have been lost.
- Document Types: Defines the document categories available in the system, such as Artwork, Document File, and other file types associated with estimates and orders.
- Estimate Status: Lists the statuses used to track an estimate throughout its lifecycle, such as Open, Closed, or other custom statuses.
- Job Progress: Contains the progress indicators used to track production status, such as Dropped, In Production, or Production Complete.
- Leftover Instructions: Defines the available instructions for handling leftover materials, such as Destroy, Return to Inventory, or other disposition methods.
- Order Status: Lists the statuses used to track and manage orders throughout the production process.
- Order Version Status: Defines the statuses available for order versions. Each status includes a priority level that determines its significance within the versioning process.
- Record Resolution: Contains the available actions for resolving records, such as Keep or Discard.
- Tax Codes: Maintains the tax codes used when calculating taxes on estimates and orders.
- Tax Exemptions: Displays all tax exemption records in the system. Select a tax exemption to view or edit its details.
- Tax Jurisdictions: Defines the tax jurisdictions available for tax calculation and reporting purposes.
- Terms: Maintains the payment terms available for estimates and orders. Each term includes a code, description, due period (in days), and an active status to indicate whether it is available for use.
- Undelete Orders: Allows previously deleted orders to be restored by selecting the Active checkbox. This screen also displays the associated Order Number, Project Name, and Customer for each deleted order.
Finishing Equipment
This menu contains one setup option used to manage laminating equipment within the system.
- Laminators: Displays all laminators configured in Midnight. This screen includes the laminator's Lamination ID, Name, Description and other technical specifications used for estimating, production, and equipment management.
Global Settings: Contains system-wide settings that control the behavior and configuration of various Midnight modules. For detailed information about the available options, refer to the Global Settings article.
Holidays: Maintains the holidays that could be used in Job Costing / Time Records. Each holiday record includes the Holiday Name, Rate Multiplier, and an Active flag indicating whether the holiday is currently in use.
International Format: Controls region-specific settings, including international date and phone number formats, as well as the system's currency. Available currency options include Cedi, Dollar, Euro, and Pound.
Issues
- Issue Statuses: Defines the statuses available for issues, such as Pending, Completed, Resolved, and other workflow stages used to track progress.
- Issue Types: Maintains the categories of issues that can be assigned within the system, helping users classify and organize issues for tracking and reporting purposes.
Itemization: Defines the item categories available in the system. This screen displays the Code, Category, and Active status for each item type.
Job Types: Maintains the job classifications used in Midnight, such as On Demand and Fulfillment. These values are available in the Details section of an order.
Machine Departments: Displays the machine departments used to organize production equipment into logical groups for scheduling and resource management.
Machines: Lists all machines configured in Midnight, including production equipment and other schedulable resources. For additional information, refer to the Machines and Machine Departments article.
Makeready Codes: Contains the makeready codes used during estimating and production. Each record includes a code, description, and an Active status indicating whether it is available for use.
Operation Codes: Maintains the operation codes used throughout the system. Each code includes a description and an Active status.
Order Import Service: Allows you to map imported order items to specific services when using the Order Import Tool, ensuring the correct services are automatically assigned during the import process.
Postage
- Mail Category: Defines the categories of mail used in the system, such as Letters, Postcards, and other mailing types.
- Mail Class: Contains the mailing classes available for postage calculations and processing, such as First Class, Drop Ship, and other postal classifications.
- Mail Geography: Defines the geographic mailing areas available in the system, such as Local, Regional, or other distribution zones.
- Mail Sort: Lists the mail sorting methods used for postage and mailing preparation, such as Automation, ZIP Code Order, and other sorting options.
- Post Office: Maintains the post office locations available for mailing and postage processing.
- Postage Affix: Contains the postage affixes used in the system. Each record includes an affix description, associated GLID, and other postage affix settings.
- Postage Estimate Rates: Maintains the postage rates used for estimating. Each record includes a rate description, the postage amount, and an Active status.
- Postage Rate Codes: Defines the postage rate adjustment codes used in the system. Each code includes a description and indicates whether the adjustment is positive or negative.
- Postage Spoilage: Contains the spoilage classifications used for postage tracking, such as Recoverable and Non-Recoverable.
- Postage Status: Lists the statuses available for postage transactions and indicates whether each status is currently active.
- Paper Cutters: Displays all paper cutters configured in the system. Each record includes the Cutter ID, Description, Throat Height, Maximum Width, and Maximum Depth (in inches).
- Paper Finish: Maintains the available paper finish options, such as Dull, Matte, Gloss, and other finish types used during estimating and production.
- Paper Grade: Lists the paper grades available in the system and indicates whether each grade is active.
- Press Standards: Defines the standard configurations for presses used in estimating. Each record includes details such as Impressions per Hour, Hourly Rate, Material Type, Maximum Height, Maximum Width, and Press Type.
- Print Ink Management: Maintains the ink types available in the system, along with the specifications and settings associated with each ink.
- Print Product Templates: Contains reusable product templates for print estimating. Selecting a Project Type or Project Type ID allows you to view and modify the template's configuration.
- WF Product Types: Defines the product types available for Wide Format estimating and production.
- WF Quality Types: Maintains the quality settings available for Wide Format presses. These settings are used to determine output quality during estimating and production. For additional information, refer to the Wide Format Quality Setup article.
- Run Rate Factors: Defines the run rate multipliers used within the Print module to adjust press production speeds for estimating and scheduling purposes. For additional information, refer to the How to Change Your Press Run Rate Factor article.
Project Types: This tab contains different types of projects in the system, such as Fulfillment, mailing, or Printing.
Reason Codes: This tab lists reason codes for use in the Issue Tracking module of Midnight.
Report Objects: This tab shows all the different reports in the system. From this screen you can activate/deactivate reports, change the name of reports, and whether to show it on the DJB.
Report Type Objects: This tab shows the different modules a report is associated with.
Security
Create Roles: Allows you to create and manage security roles within the system. Roles determine which modules, screens, and features users can access based on their assigned permissions.
Create Role Rights: Allows you to configure the permissions for each role. From this screen, you can specify which modules and functions a role can access, as well as the security level assigned to those permissions.
Pricing Update: A pricing update tool allows administrators to adjust all Standard Service Base Prices simultaneously using either a percentage-based or fixed-amount increase or decrease. This feature applies only to Standard Services at this time; support for template pricing updates will be introduced in a future release.
Service Types: Provides the foundation for how your company categorizes and manages the services you offer. They typically represent your production departments and serve as high-level groupings that organize your standard services.
Service Wizards: Allows you to configure service wizards and manage the variables and settings associated with each wizard. For additional information, refer to the Service Wizard Setup and Use article.
Standard Services: Displays the standard service price list used in Midnight. Selecting a service name allows you to view and edit additional service details. For more information, refer to the Standard Service - Detailed Mapping article.
Shifts: Maintains employee work shifts and schedules. Each shift record includes Start Time, End Time, Break Times, and a Description of the shift.
User Defined Fields: Lists the custom fields available within each module. These fields allow you to capture additional information specific to your organization's needs, with a maximum of 30 user-defined fields per module.
Warehouse
- Bay: Lists the warehouse bays defined in the system. Bays are used to organize and identify storage locations within a warehouse.
- Item Types: Maintains the inventory item categories used throughout the system.
- Location: Displays all warehouse locations and includes details such as Warehouse, Section, Bay, Shelf/Slot, Location Size, and Location Type.
- Location Types: Defines the types of storage locations available in the system, such as Floor, Rack, Machine, and other location classifications.
- Section: Maintains the warehouse sections used to group storage locations within a warehouse.
- Size: Defines the available location sizes, such as floor storage areas, shelving locations, and other storage capacity classifications.
- Slot/Shelf: Maintains the slot and shelf identifiers used to further organize inventory locations within a bay or section.
- Unit Conversion: Allows users to create and manage custom unit-of-measure conversions. Each conversion includes the source Unit of Measure (UM), conversion quantity, converted unit name, conversion formula, unit type, and an Active status.
- Warehouse: Lists all warehouses configured in the system and identifies the default receiving location for each warehouse.
